SharePoint vs OneDrive for Philippine Businesses: Which One to Use and When

Every Microsoft 365 tenant has both SharePoint and OneDrive. They look similar in the browser, they sync via the same desktop app (OneDrive sync client), and files from both appear in Windows Explorer under the same "Microsoft 365" section. This surface similarity hides a fundamental architectural difference that determines how access, ownership, and governance work.

Getting this distinction right at the start of an M365 deployment saves significant remediation work later. Getting it wrong creates files that become inaccessible when staff leave, sharing practices that expose data inappropriately, and a file structure that is impossible to govern.


The Core Distinction

OneDrive is personal storage. It belongs to a specific user. When that user's account is disabled or deleted, access to their OneDrive requires admin intervention. OneDrive is for:

  • Documents you are working on personally and have not yet shared
  • Work-in-progress drafts before they are ready to share with the team
  • Personal reference materials you are the only one who uses
  • Files you want to access from multiple devices (sync)

SharePoint is organisational storage. It belongs to the organisation, not to any individual. When a staff member leaves, their SharePoint files remain accessible to the team. SharePoint is for:

  • All files the team needs to access
  • Documents that are "owned" by a department or function rather than a person
  • Files that need structured permission controls (not everyone can access everything)
  • Version-controlled documents with formal approval workflows

The practical rule: if anyone else in your organisation will ever need to access this file, it belongs on SharePoint, not OneDrive.


The Most Common Philippine SME Mistakes

Saving Team Files to Personal OneDrive

A staff member saves the company's client master list, pricing spreadsheet, or standard contract templates to their OneDrive "for convenience." Colleagues ask them to share it; they share a link. Everyone works off the same file via the OneDrive link.

When the staff member leaves: their account is disabled. The OneDrive link breaks. The file is temporarily inaccessible. The IT admin must recover it from the departed employee's OneDrive before it is deleted in the account deletion window (typically 30 days after account deactivation).

This scenario plays out in almost every Philippine SME that deploys M365 without file governance training. The fix is retroactive migration — time-consuming and disruptive.

Sharing OneDrive Files Publicly Instead of SharePoint

Staff share files via "anyone with the link can view" from their personal OneDrive. The link works indefinitely, across any network, for anyone who has it. There is no audit trail of who accessed the file. When the sharing should be revoked, the staff member must remember to do it manually.

SharePoint has centralised link management — admins can audit and revoke all external sharing from one place.

Using SharePoint for Personal Draft Work

Staff save half-finished drafts to a shared SharePoint library. Colleagues see incomplete documents in the shared folder. Version history accumulates unnecessary early drafts. The team has no clear understanding of which documents are authoritative.

Personal drafts belong in OneDrive. Shared work belongs in SharePoint. A simple workflow: draft in OneDrive → when ready to share, move or copy to the appropriate SharePoint library.


How to Structure SharePoint for a Philippine SME

The practical SharePoint structure for a Philippine SME with 20–100 staff:

Sites by Department or Function

Create one SharePoint site per department or major function:

  • Operations — standard operating procedures, project files, client folders
  • Finance — accounting documents, financial reports, payroll records
  • HR — employee records, policies, onboarding materials
  • Sales & Marketing — proposals, presentations, client communications
  • IT — asset inventory, vendor contracts, technical documentation
  • Management — board documents, executive reports, strategic plans

Each site has its own permissions — Finance staff cannot browse HR documents; HR cannot see Finance files. This is the correct access model.

Document Libraries Within Sites

Within each site, organise by type or project:

  • Finance / Document Libraries: Supplier Invoices | Monthly Reports | BIR Documents | Bank Statements
  • Operations / Document Libraries: Client Projects (with one folder per client) | SOPs | Templates

Keep the library structure flat — deep nested folder hierarchies become hard to navigate. Use document metadata (columns) for filtering instead of folders where possible.

Shared Company-Wide Resources

One SharePoint site for company-wide content all staff need:

  • Company Portal / HR Policies — company handbook, leave policies, benefits guide
  • Templates — standard letter templates, proposal formats, report templates
  • Announcements — company news, memos (can also be a SharePoint News page)

This site has read access for all staff, edit access for HR and management only.


Permission Model: SharePoint vs OneDrive

OneDrive permissions:

  • Files are private by default
  • Owner shares manually via link or specific user invitation
  • No centralised admin visibility of what is shared (without Purview audit logs)
  • Departed employee = access problem

SharePoint permissions:

  • Controlled at site level, library level, or folder level
  • Managed by site owners and M365 admins
  • All sharing visible in SharePoint admin centre
  • Departed employee has no impact — their contributed files remain accessible

For regulated Philippine businesses (NPC compliance, BSP-regulated institutions), SharePoint's centralised permission model is required. OneDrive's personal sharing model creates data governance gaps that are difficult to audit.


The OneDrive Sync Client: Useful but Misleading

The OneDrive desktop sync client syncs both OneDrive and SharePoint to your local device. In Windows Explorer, you see folders for both — they look identical. This is where much of the confusion originates.

Staff save files to what they think is "SharePoint" and it is actually their personal OneDrive, because both appear under the same section in Windows Explorer.

Fix: Train staff on the folder naming convention. OneDrive personal files appear under the user's name ("OneDrive – Personal" or "OneDrive – Company Name"). SharePoint files appear under the site name ("SharePoint – Company Name – Finance" etc.). They look similar but are structurally different.

In the Microsoft 365 web interface (office.com), the distinction is clearer: OneDrive shows "My files" under the personal section; SharePoint shows site-specific document libraries under "Shared with me" or the site's own navigation.


Microsoft Teams Integration

Microsoft Teams channels store files in SharePoint. When a Teams channel is created, a folder is automatically created in the corresponding SharePoint site for that team. Files shared in Teams channels are SharePoint files — they have all the governance and permission controls of SharePoint.

Files shared in Teams direct messages (private chats) are stored in OneDrive — they have OneDrive's personal storage characteristics.

This is another source of confusion: Teams looks like one unified experience, but behind the scenes it uses different storage for channels (SharePoint) vs direct messages (OneDrive).

Practical guidance for Philippine SMEs: Conduct all team file sharing via Teams channels (backed by SharePoint), not via Teams direct messages (backed by OneDrive). Configure Teams to create SharePoint sites automatically for each new Team.
